Schedule: Full Time Reporting: Reports to the Controller
Duties and Responsibilities:
The Assistant Controller’s overall responsibilities are to work closely with and assist the Controller and the CFO by assuming responsibility for the day-to-day functions of accounting, budgeting, financial reporting & analysis, and the annual audit.
The Assistant Controller’s responsibilities include the following, but are not limited to:
Maintains the General Ledger, including posting and closing of the accounting periods and fiscal years
Provides auditors with information and explanations concerning accounting procedures
Assists in establishing a system of internal controls, including accounting procedures, and ensures those are carried out effectively and efficiently and to evaluate internal accounting controls, as needed
Working closely with Accounts Payable and Student Receivable personnel, ensures the accuracy of all Payable and Receivable activities and reports any concerns to the Controller in a timely manner
Creates and verifies accounts, amounts, distributions and balances in the General Ledger
Ensures proper allocation to funding sources of receipts and expenses
Provides assistance in meeting internal and external financial information needs
Creates and maintains policies and procedures manual for Business Office activities
Initiates transfer of funds between various school bank accounts.
Maintains depreciation and amortization lapse schedules.
Prepares quarterly budget performance reports for the Board and quarterly financial statements for the Bank as required under the loan covenants, and timely submits various financial information for review by the Controller and the CFO
Analyzes balance sheet and income accounts each month
Assists in the preparation of the annual budgets
Prepares annual employee contracts and develops detailed payroll budgets for inclusion in the annual operating budget
Creates and produces monthly reports for all funds and prepares Restricted and Endowment Funds spreadsheets
Manages and produces monthly cash flow reports
Assists the Controller in the annual audit process, providing all necessary input to ensure the audit is complete, and prepares the School’s annual financial statements.
Coordinates annual preparation and filing of Form 990.
Compiles and reviews data for annual surveys with various school associations
Oversees the reconciliation of bank statements of all accounts and monitors cash position on a daily basis to ensure sufficiency of funds to meet the School’s obligations
Reconciles all Investment accounts on a monthly basis and preparation of the investment schedule by asset allocation and account summary
The Chief Financial Officer and Head of School, in the course of the School year, may assign other duties and projects
